Steps to a Successful HOBY CLeW

I. Money and Fundraising
A. How much money is needed? (Don’t forget about cost for food, speakers, location, supplies, gifts for speakers, water, decorations, etc.)
B. How will we get that money?
1. Fundraising events (e.g. car washes)
2. Donations
a. Draft a letter to hand out to businesses explaining exactly what HOBY is and what you are planning. Emphasize that HOBY is non-profit (tax deductible)
b. Don’t be afraid to ask for a large amount. They will let you know if they can’t afford it.
C. Develop a budget and stick to it!!!!
II. Location, date, schedule
A. Where? (e.g. school, community center, park, etc.)
1. Book the location well in advance
2. Secure audio/visual equipment as needed
B. When?
C. How long will it last? all day? just morning or afternoon?
1. Draft a rough schedule, then tweak it and finalize
III. Theme
A. Possible ideas: Volunteerism, media, education, politics, career choices, entrepreneurship, etc.
B. Do you want to break the kids up into groups at all? Group names?
IV. Speakers
A. Panel
1. 3-4 people chosen based on the theme
2. Thank-you gifts
B. Keynote and/or motivational speaker
1. Reputation in community
a. Note: Some speakers charge for their time.
2. Have a topic for them and be able to give them the date, time, and place upon contact with them.
3. Don’t procrastinate this!!!!

V. Games
A. Icebreakers
B. Cheers
C. Leadership/teamwork games
1. Materials needed?
D. Possibly a service project

VI. Food
A. Will you need to provide lunch or just snacks?
B. Always provide water!
VII. Recruiting
A. Number of schools participating?
B. How many students will be invited from each school?
C. Contacting the schools, most likely the sophomore counselor, well in advance
1. Be prepared to explain what HOBY is and answer questions they might have. Talk it up!
D. Release forms for students
E. Getting enough JC’s to staff the event
VIII. Supplies
A. Other items needed to make the CLEW a success
1. Name tags, programs, poster board (for signs, posters, etc.), markers, farewell packets, etc.
IX. Paperwork
A. Complete requested reports and send to CLEW Chairman
B. Secure Corporate Board approval, insurance coverage
BE RESOURCEFUL!!!
- Things don’t have to be expensive to be good. An entire CLEW should be able to be put on for less than $500.
- Look within yourselves and friends for resources.
